Key to the role is to assist the Events Manager. Glanusk run in-house events and rent land to third party clients and it is essential to be able to support the Events Manager in preparing for and coordinating each event. You will assist in updating the website, the administration of the wedding and holiday let bookings and co-ordinating the maintenance and cleaning of the Holiday Properties, Church and Glasshouse. You will play an important role within the ‘Glanusk Estate Office’ maintaining the smooth running and co-ordination between Events and the Core estate administration and operations.
This may include setting up travel, meetings, speaking engagements and other appointments for the executives and trustees. In addition to making appointments, this may also involve ensuring there are no scheduling conflicts and making sure the Trustees, Directors and the Estate Manager know where they need to be and when. You will schedule potential clients and event managers to visit the Estate and to co-ordinate any specific requirements for such visits.
Office and Events Duties
You will co-ordinate the day-to-day operations of the office. These responsibilities involve making sure that everything is in place for the office to function smoothly and front of house. Tasks may range from ensuring Purchase Order forms are correctly completed to providing reports for the Estate Manager to drafting Contractor Paperwork. You will produce invoices as required and liaise with the in house accountant on debtors and creditors to the Events business at Glanusk. You will work closely with the Events Manager during events on the estate, and these may be at weekends and on national holidays which are the peak times for events at Glanusk.
Maintaining Glanusk’s excellent brand and service to any and all customers who visit Glanusk Estate is paramount. The role requires you to be the ‘first point of contact’ for guests and visitors who are staying at our Holiday Cottages, guests who have paid to fish the river, suppliers/contractors and any other visitors to the Estate, as well as most importantly future events clients. You will on occasion be asked to show potential clients, wedding or events around the estate and the specific locations, so should be a person that is confident in speaking and communicating well to all types of people.
You will be involved in preparing and formatting information for internal and external distribution. This may include writing letters and memos, compiling data for reports, creating presentations, writing reports, editing, proofreading and other information preparation duties. You should be proficient with the use of all major MS software applications.
It is important that you maintain company records and are responsible for maintaining both electronic and paper filing systems, as well as taking steps to maintain that the company is in compliance with all applicable record-keeping requirements.
You may have access to confidential information. You are in a position of being privy to information that must be protected, so being able to maintain confidentiality and exercise discretion is essential for success in this role.
Monday to Friday 9.00-5.00pm and weekends as required.
